Concept of Microsoft office System
• Microsoft office is a family of client software, server software, and services developed by microsoft corporation USA. It was first announced by Bill Gates on 1st August, 1988 at COMDEX in Las Vegas.
• Over the years, office applications have grown substantially closer with shared features such as a common spell checker, OLE data integration ana visual Basic for applications scripting language.
• On 10th july 2012 Softpedia reported that office is used by over a billion people worldwide.
• The oeiginal and most widely used version is the desktop version, available for PCs running the Windows ans macOS operating systems. The current desktop version is office 2019 for windows and macOS, released on september 24, 2018.
About windows word
• It is a widely used word processing software that we can use to create and update a wide range of business and personnel documents.
• Using this word processing software we can create a letter, memo, fax, report, news letter , book etc.
• It is very powerful, advance and useful word processing software developed by Microsoft Corporation USA.
• It has several word processing facilities like to create, edit, format, save, and print document, to check spelling and grammer, to search for synonyms and antonyms, to work with newspaper columns, tables, to add footnotes and endnotes, page maker, special symbols, bookmarks, comments, to insert the picture, objects.
• The extension for the word document is .doc
How to use Microsoft Word
To Open Microsoft Word
• Start ➡️ Programs➡️ Microsoft Word
• Start ➡️ Run ➡️ Type winword
Then a blank document will be opened.
In word we can create three types of documents
1. Blank document
2. Template document
3. Web page document
Word document extension is .doc
Template document extension is .dot
Web page dicument extension is .html

Menus
ЁЯФШ File Menu
This command is used to create a blank document.
1. Select file menu
2. Select New
3. A task pan will open, bearing many opetions.
4. Select the type of document that we want to create.
[If we want to create blank document, then select blank document and if we want to create general temokates, then click on general template and select the template]
ЁЯФШ Open
It is used to open a previously saved file.
1. Select file menu
2. Then select Open
3. A windows will open displaying the names of all existing documents and select the desire file and click Open.
4. The required file will be opened on the screen.
ЁЯФШ Close
It is used to close the files without existing the program ( for shortcut key to close the current files is Ctrl+W)
1. select file menu
2. Choose Close options
3. Then file will be closed automatically.
ЁЯФШ Save
It is used to save the file for the first time.
1. Select file menu
2. Select Save options
3. A window will open and type your file name on dialogue box and click OK button
4. The document will be saved
ЁЯФШ Save as
It is used to create a duplicate copy of our document or renameing of the file. We can use keyboard shortcut key F12 for save as.
1. On file menu sekect save as options
2. Then a dialogue box will be appear on the screen and type a new file name on the file name dialogue box and click Ok button or press the Enter key from keyboard.
3. A dublicate copy of the document will be created.
ЁЯФШ Save as web page
It is used to save a word document as a web page documents .
1. On the file menu select save as web page option
2. In the file name box type a file name and click Save
3. Then the document will be saved as a webpage.
ЁЯФШ Search
It is used to search a file or folder in your computer.
1. On file menu select search
2. Type the file or folder name on the search text box
3. Then click search button
4. File will be displayed if it is in your computer.
ЁЯФШ Version
It display the hardware details of our computer.
ЁЯФШ Webpage preview
It allows as previewing the current file as a web page in our browser so we can see how it will look before publishing it.
1. Open the document that we want to display on the browser window
2. Select webpage preview
3. Then the document will be displayed on the browser window.
ЁЯФШ Page setup
Before we print the document we may want to define our page margin, paper size, column, landscape or portait etc.
1. On the file menu, select page setup option
2. A window will be opened displaying four tabs
Margin- used to set the left, right, top and buttom margin
Papaer- used to set the paper size
Layout - used to set the header and footer setting
Document grid- used to set the grid option
ЁЯФШ Print preview
It shows how file will display before printing.
1. On the file menu select print preview option
ЁЯФШ Print
It print the selected documents.
1. From the file menu click print options
2. Press from the keyboard Ctrl+P for the print command
3. Click Ok button
ЁЯФШ Send to
It is used to send our document as the body of the email message.
ЁЯФШ Properties
It can helps to know detail infirmation about a document.
ЁЯФШ File list
It lists all the recently opened file names.
ЁЯФШ Exit
This options is used to exit from the word for shortcut press Alt+ F4 keys from the keyboard

Edit Menu
ЁЯФШ Undo
It is very useful when we make a mistake or delete any word or any changes in file. It will undo the last action that we performed.
1. From the Edit menu select undo options
2. From the keyboard press Ctrl+z for undo command.
ЁЯФШ Redo
This options is used to restore or repeat the last action.
1. From the Edit menu and select Redo options
2. From the keyboard Ctrl+Y for shortcut.
ЁЯФШ Cut
This options is used to remove the text or any object or move it another place of the documents.
1. Firstly select the desire text or object that we want to move or cut
2. From the Edit menu select cut options or from the keyboard press Ctrl+X for shortcut
3. Press the cursor to the required location where we want to paste it.
4. From the Edit menu select paste option or from the keyboard Ctrl+V for shortcut.
ЁЯФШ Copy
This options is used to copy text or objects from one part of the document and paste it to another part of the document.
1. Firstly select the text that we want to copy
2. From the Edit menu select copy option
3. Place the cursor to the reqyired place where we want to paste it.
4. From the Edit menu select paste option or press the Ctrl+C from the keyboard.
ЁЯФШ Paste
This option is used to inserts contents of the clipboard at the insertion point and replaces any selection.
1. Firstly select the text that we want to copy or move or cut
2. From the Edit menu select paste option or press Ctrl+C from the keyboard.
ЁЯФШ Paste special
This options is used to paste a linked object or an embeded object to the other part of the document.
1. Firstly select the information that we want to create a linked object or embedded form.
2. From the Edit Menu select cut or copy options or press the Ctrl+X or Ctrl+C from the keyboard.
3. Go to the desired location where we want to appear the information.
4. From the Edit Menu select special paste option.
ЁЯФШ Paste as hyperlink
This option is used to inserts the contents of the clipboard as the hyperlink at the insertion point replacing any selection.
ЁЯФШ Clear
It is used to delete or selected objects or text without putting it on the clipboard.
1. Firstly we need to select the text
2. From the Edit menu select clear option. There are two sub options appear in clear
Clear➡️ Fromats➡️ its clear the formats only
Clear➡️ Contents➡️ its delete the whole contents.
ЁЯФШ Select All
This option is used to select the whole document.
1. From the Edit Menu choose Select All option or press the Ctrl+A from the keyboard
2. Then the whole document wil be selected.
ЁЯФШFind
This option is used to search a pattern in a document.
1. From the Edit Menu Select Find option
2. Type the text that we want to search in find text box
3. Then click find next
ЁЯФШ Replace
This command is used to repalce an alternative text for a pattern.
1. From the Edit Menu select Replace option
2. Type the text that we want to search in find text box and type the alternative text also that we want to replace in replace box.
3. Click replace or replace all option.
ЁЯФШ Go To
This command is used to go to anywhere in the document.
1. From the Edit Menu select Go To option or press the Ctrl+G from the keyboard.
2. To go to a specific item and type the name or number and than select Go To .
ЁЯФШ View Menu
There are four types of view menu available in word.
1. Normal view
2. Web layout view
3. Print layout view
4. Outline view
ЁЯФШ Normal view
This is the default editing view while we use to create and edit documents. In this normal view page boarders, headers and footers, backgrounds, page numbers are not appear.
ЁЯФШ Web layout view
web layout view displays how our documents will be displayed on webpage.
ЁЯФШ Print layout view
It shows exactly our document when printed
ЁЯФШ Outline view
It shows the structure of the document which consists of reading and body text. In this outline view we can set heading to our document.
ЁЯФШ Task pane
We can hide or display the task pane using this command.
ЁЯФШ Tool Bar
1. From the view menu select toolbar
2. Select customize
3. A window will open showing three tabs toolbars, commands and options
4. Click toolbar button select New
5. A small toolbar will appears
6. Then click comments button
7. Drag the comments which we want to aappear in our toolbar
8. A new toolbar will be generated
ЁЯФШ Ruler
It displays or hides the horizontal ruler, which we can use to position objects change paragraph indent, page margins and other spacing settings.
ЁЯФШ Header and Footer
These are tipically used in printed documents that we can create header and footer include graphics. For example page number, date, company logo documents title, file name, author name etc.
ЁЯФ╣To create header
1. From the View Menu click header and footer
2. Then header window will appear on the screen
3. Type the text that we want to set as header on the box.
ЁЯФ╕ To create footer
1. From the View Menu click header and footer
2. Click switch between header and footer and footer to move to the footer area otherwise click page down key and click down aerrow .
3. A footer box will open
4. Type the required text that we want to set as footer on the footer box.
ЁЯФ╡ Foot notes
Footnotes and endnotes are used in printed documents to explain comment on or provide reference for text in a document. We can include footnotes and endnotes in the same document.
Footnotes appear at the end of page and endnotes appear at the end of the document.
We can insert footnotes and endnotes using insert command.
ЁЯФШ Zoom
This option is used to magnify our document as much as we can. The default zoom percentage is 100. The minimum zoom percentage is 10 and the maximum zoom percentage is 500.
ЁЯФШ Full Screen
In this mode word removes distracting screen elements such as toolbars and scrollbars.

Insert Menu

ЁЯФШ Break
This option is used to insert a manual page break, section break, line break, test wrapping break etc.
Procedure
ЁЯФ╕️ To insert a page break
1. Place the pointer where we wnat to insert a page break
2. From the insert menu select break and click OK.
3. The page break will be inserted.
ЁЯФ╕️ To insert a section break
1. Select the pointer where we want to insert a section break.
2. From the insert menu click break
3. Under the section break types, click the option that describes where we want the new section to begain.
ЁЯФШ Types of section break
Next page : Inserts a section break and starts a new section on the next page.
Continuous : Inserts a section break and starts the new section on the same page.
Odd page or evan page : Inserts a section break and starts the new section on the next odd or evan numbered page.
ЁЯФ╕️ Insert a manual line break
1. Click where we want to break a line.
2. Press Shift+Enter from the keyboard
ЁЯФ╕️ Insert a text wrapping break
1. Click where we want to break a line of wrapped text.
2. From the insert menu click break option.
3. Under break types click text wrapping break.
ЁЯФ╕️ Insert a column break
1. Switch to print layout view .
2. Click where we want to start the new column.
3. From the insert menu click break option.
4. Click column break.
ЁЯФШ Page Numbers
It is used to add page numbers for each page.
ЁЯФ╕️Procedure
1. From the Insert Menu select page number
2. A window will be shown
3. Then To insert page number, set the position of the page number, alignment etc and click Ok.
4. The page number will be inserted automatically.
ЁЯФШ Date and time
ЁЯФ╕️Procedure
1. Place the cursor where we wnat to insert the date and time.
2. From the insert menu select date and time commamd.
3. A window will be appear showing diffrent formats of date and time.
4. Select the format as we want and click Ok.
5. The date and time will be inserted at desired place.
ЁЯФШ Auto Text
Procedure
1. Place the cursor where we want to insert the auto text.
2. From the insert menu select auto text that we want to insert from the diffrent options, and click Ok.
3. The corresponsing text will be inserted automatically.
ЁЯФ╕️ To create an auto text entry
1. Select auto text option feom the insert menu and select auto text sub option.
2. A window will be appear on the screen and type the text that we want to create as auto text in the "Enter auto text entries here" text box.
3. Click adds.
4. The auto text entry will be created.
5. Once the auto text entry is stored a screen tip will display the entry while we type the first four letters.
6. Just press enter key and countinue typing.
ЁЯФШ Field
Procedure
1. Click whrere we wnat to insert information.
2. From the insert menu select field.
3. Click category and then click a field name.
ЁЯФШ Symbols
This option is used to insert special symbols in our document which is not given in the keyboard.
Procedure
1. Click where we want to insert the symbol.
2. From the insert menu click symbol option. There are two tabs
1️⃣ Symbol - used to insert a symbol
2️⃣ Special character - used to insert special character.
ЁЯФ╕️ To insert a symbol
1. Select where we want to insert the symbol.
2. From the insert menu click symbol and then click the symbol tab.
3. In the font dialog box click the font that you want.
4. If you want to get a close up view of a symbol click it.
5. Click inserts at the bottom of the window or double clicks the symbol that you want to insert.
ЁЯФ╕️ To insert a special character
1. Click where we want to insert a special character.
2. From the insert menu click symbol and then click the special characters tab.
3. Then double click the character that you want to insert.
ЁЯФШ Comments
Procedure
1. Select the word where we want to give our comments.
2. From the insert menu select comments
3. The a Red Box will be appear on the screen asking the comment.
4. Type the comments as we like.
5. The comments will remain in the document.
6. To hide the comments in our document from the view menu select markeup option.
7. Then the comments will be hide.
ЁЯФШ Captions
Procedure
Add a caption to an existing table, figure, equations or ther item.
1. Select the item that we want to add a caption.
2. From the insert menu select ➡️ Reference ➡️ Caption
3. Then a window will be appear and from the caption window select the label that we wnat to give to the item under the label list box and set the position under position list box.
4. The caption will be setted automatically.
5. Repeat the same procedure to add the caption for other items.
ЁЯФ╕️ Create a new caption label
1. From the insert menu select ➡️ Reference ➡️ Caption
2. Click new label.
3. On the label box type the label that we like.
ЁЯФШ Pictures
ЁЯФ╕️ Insert a picture from the clip gallery
1. Click the area where we want to insert a picture or clip art.
2. Click Insert Clip Art from the Drawing toolbar and then click the picture tab.
3. Click the category that we want. And click the picture which we wnat and then click Insert Clip from the menu that appears.
4. When we finished using the clip gallery click the close button from the click gallery title bar.
ЁЯФ╕️ Insert a picture from the another file
1. Select the location where we want to insert the picture.
2. From the inset menu ➡️ picture ➡️ From file.
3. Locate the picture the we want to insert.
4. Double click the picture that we want to insert.
ЁЯФ╕️ Insert a picture from the scanner or camera.
1. For this work we should have to connect the computer with a scanner or camera.
ЁЯФ╕️ Insert an organization chart.
1. Select the location where we want to insert the organization chart.
2. From the insert menu ➡️ Picture ➡️ Organization Chart.
3. The chart will be inserted automatically with empty text box.
4. Type the relevant details in the text box just by clicking it.
ЁЯФ╕️ Insert an Auto Shape
1. Select the location where we want to insert the Auto shape.
2. From the insert menu ➡️ Picture ➡️ Auto Shape.
3. Choose the shape that we want to insert or draw.
4. The pointer will change into + sign automatically.
5. Then Draw the picture that we like.
ЁЯФШ Insert a Word Art
1. From the drawing toolbar click the insert Word Art button.
2. The Word Art gallery dialog box appears on the screen.
3. Then click the Word Art style that we wnat to insert and then click Ok button.
4. The Edit word art text dialog box appers showing your text as a placeholder.
5. Type the text that we want to insert word art and then click Ok button.
